For an international hotel chain with resorts in the Caribbean, we built a voice agent that does something easy to describe and very hard to sustain with people: the moment a prospect leaves their details on a campaign, their phone rings — in under a minute. The voice that greets them is not a recording and not a phone menu. It’s an AI agent conversing in real time, answering specific questions — destinations, dates, what the experience includes — from the business’s knowledge base, qualifying interest without turning the call into an interrogation, and proposing a date and time to meet a sales advisor. By the time they hang up, the recording, transcript, and qualification are already in the CRM. And the conversation doesn’t end there: the same agent picks it up on WhatsApp, confirms the meeting, and sends a reminder two hours before.
The problem: leads don’t keep office hours
Leads arrive whenever they please. Tuesday at 2 pm, Saturday at 11 pm, Sunday before breakfast. The sales team, like most, dialed during office hours and in order of arrival — so Friday evening’s lead heard back on Monday, if their turn came up. The WhatsApp thread. The conversation continues in chat with full memory of the call. What the prospect said on the phone exists on WhatsApp, and the other way around: nobody repeats their story. Questions that come up at night get answered on the spot, and the meeting confirmation and reminder arrive on the same thread.
The supervision panel. On the business side there’s a screen where the team watches every conversation live: real-time transcript, the prospect’s mood, the status of every meeting. Plus one button to take over: when a person steps into the chat, the agent goes quiet until the conversation is handed back. The machine handles the volume; the person decides when to grab the wheel.
How we built it
We didn’t start with the technology — we started with how this team actually sold. Real scripts, the objections that came up weekly, service hours, what made an advisor consider someone ready for a meeting. From that we loaded the knowledge base and set the dialing rules: calling window, retry waves, the double-call guard. Then we connected their calendar and CRM.
The slowest part came last: testing on live calls until the greeting, the pauses, and the way it closes a meeting sounded like a conversation instead of a switchboard. A voice agent that sounds like a machine loses the prospect in the first ten seconds, and that polish doesn’t come from a demo — it comes from iterating on real calls.
